321GoTemplatesDropinOverseeing retention and tracking of newbies/drop in’s can be tricky.

As a gym owner, you may not be there all the time to ensure a drop in is followed up. We have created a simple tracking sheet for you.

This is something each coach could quickly fill out before they leave the gym on anyone new.

Included on the sheet:

  • Name
  • Date they worked out
  • What class they tried out
  • Who referred them

We added a Bright Spots portion. This is where the coach writes down 2-3 things about the potential members. Did they crush the workout, nailed their deadlift form, etc. Notes are for your Joy Girl to write in that could be related to anything.

As we have mentioned in our previous Joy Girl Article: Handwritten notes are best. Phone is second-best. Email is just okay. Text messaging is a negative.

The Joy Girl (CSM) handles the follow ups:

Step 1: Send a post card with a thank you message; mentioning something positive they did the in their first workout, and even dates for your next Fundamentals.

Step 2: 3 Days after they came in, she calls them. Ask how they felt, recovery, soreness, and remind them of how fun their experience was.

Step 3: After one-two weeks (maybe pending on when your next Fundamentals Program is).

Step 4: Add them to a newsletter mailing list, one specific to future members. Email out upcoming events, getting started, etc. They can always opt out if they truly aren’t interested.

This tracking sheet has been a major contributor to our retention of those new to CrossFit. Everyone gets a follow up and especially a hand written post card.
